How to Scan Proof of Delivery (POD) With Your Phone

Scan a signed proof of delivery before you leave the dock. Get a clear POD scan brokers and factoring companies will accept.

Why the POD scan matters

Proof of delivery is often the document that starts payment. A freight broker or factoring company can have your rate confirmation and bill of lading and still hold the load if the POD is missing, blurry, or unsigned.

Scan the POD at the dock. Do not wait until the next truck stop.

What a usable POD includes

Before you roll, check that the scan shows:

  • Consignee or receiver name
  • Delivery date and time
  • Load, PRO, or pickup number
  • Piece count and any exception notes
  • A readable receiver signature
  • Your name or truck/trailer number if it is on the form
If any of that is cut off, scan again. It is faster than a three-day email chain.

How to scan proof of delivery on your phone

1. Flatten the POD on a clipboard, dock plate, or the side of the trailer. 2. Use the brightest light you can. Open bay doors beat warehouse bulbs. 3. Hold the phone directly above the page so all four corners are in frame. 4. Capture with a document scanner, not the regular camera roll. 5. Switch to black and white so handwriting and stamps have contrast. 6. Confirm the signature is legible before you leave.
