A Bill of Lading (BOL) is the most important document in trucking. It proves what you picked up, where it came from, and where it's going. Brokers need it. Shippers need it. You need it to get paid.

But crumpled BOLs with coffee stains don't look professional. And blurry photos get rejected by broker AP departments.

Here's how to scan a BOL properly using just your phone.

Step 1: Find Good Lighting

The single biggest factor in scan quality is lighting. Natural light works best. If you're at a truck stop or dock:

Face a window or open door
Avoid shadows falling across the document
Don't scan under dim warehouse lights if you can avoid it

If it's dark, turn on your truck's dome light and hold the BOL close to it.

Step 2: Flatten the Document

A flat document scans better than a wrinkled one. Quick tricks:

Press it against your clipboard
Lay it on your dashboard
Use the side of the truck as a flat surface
In a pinch, your thigh works while sitting

Step 3: Hold Your Phone Steady

Position your phone directly above the BOL, not at an angle. Most scanner apps auto-detect edges, but they work better when:

The whole document is in frame
You're not tilting the phone

Before you drive away from the shipper or receiver, check your scan:

Can you read all the text?
Is the signature visible?
Are reference numbers clear?

What a Good BOL Scan Includes

Shipper and consignee names and addresses
Load/reference/PRO number
Date and time
Description of freight
Weight and piece count
Any handwritten notes or exceptions
Signatures from both pickup and delivery

Common BOL Scanning Mistakes

Taking a photo instead of scanning: Regular camera photos have poor contrast and weird lighting. Scanner apps fix this automatically.

Cutting off edges: Make sure the entire document is in frame, including any handwritten notes in margins.

Scanning in color when B&W is better: Color files are 3-4x larger and don't look as clean.

Not checking signatures: A BOL without a legible signature is nearly worthless for billing.
